About the company:

Our client is a leading real estate capital provider to state-licensed cannabis operators. Founded in 2019, they are a triple-net lease REIT that acquires industrial and retail properties through sale-leaseback transactions, third-party purchases, and build-to-suit projects. Their tenants are some of the leading operators in the U.S. state-licensed cannabis industry, and they are a trusted partner for their real estate needs.

They are seeking a corporate administrator to support the corporate office, board of directors, and executives. This opportunity is for a professional with an entrepreneurial spirit, tech-savvy, and problem-solving skills. You must have excellent communication and writing skills.

Responsibilities include:
Office Management:

  • Perform office administrative tasks, including but not limited to sorting mail, operating office equipment, and managing office and kitchen supplies inventory.
  • Coordinate company events such as conferences, committee/board meetings, board dinners, and holiday parties.
  • Manage incoming and outgoing mail with UPSP, UPS, and FedEx; print labels for mailing, as needed.

    Administrative Support:
  • Provide scheduling assistance, including coordination of Zoom meetings for the board and various committees; coordinate calendar dates and times among approximately 10 individuals.
  • Coordinate travel arrangements for six board members and three executives.
  • Maintain the board and committee meeting minutes tracker.
  • Distribute documents for execution to the board members, management, and employees via DocuSign.
  • Maintain the corporate office phone line; direct voicemails to the appropriate department heads as necessary.
  • Maintain the schedule of the company’s charitable match program.
  • Main point of contact for the coordination and preparation of the materials for the proxy and annual meeting.

    Investor Relations:
  • Be the first line of contact for general investor inquiries.
  • Update and maintain a comprehensive list of contracts for approximately 300 investors.
  • Circulate financial statements and tax documents to approximately 300 investors quarterly and annually.
  • Run uncashed dividend reports and follow up with shareowners as necessary.

    Information Technology (IT):
  • Ensure IT hardware and office equipment are maintained and operating effectively; office equipment includes copiers, fax machines, and printers; IT hardware includes phone lines and conference room equipment.
  • Quarterly, prepare an IT presentation to demonstrate ongoing monitoring and success of IT training, including security awareness, phishing attempts, and other IT processes.

Requirements:

Qualifications:
  • Associate’s degree or equivalent experience in office administration or a related field
  • Excellent communication; strong written and verbal skills
  • Proficient in MS Suite (Excel, PowerPoint, Word, Outlook)
  • Detail-oriented
  • Strong organizational skills and ability to prioritize deadlines
