Job Description:
This role is well suited to an experienced Legal Secretary or Legal Assistant seeking an opportunity to learn and grow.
Essential duties and responsibilities will include:
- Finalize and file (electronically or in hard copy) legal letters, discovery, and motions.
- Prepare and file Appeals, Stipulations of Discontinuance, 310(d)s, Answers to Cross Claims and/or Counterclaims, and Notices, as required.
- Distribute EBT transcripts to the plaintiff’s attorney with a 3116a letter and to insureds to execute and return.
- Set up IME appointments, provide available medical documentation to the doctor, and advise all parties of appointment details.
- Manage all incoming correspondence, including scanning and filing of documents.
- Secure documentation to support legal defense, including but not limited to medical records, in a timely and efficient manner.
- Maintain relationships with internal and external clients through professional interaction.
- Monitor office machines (e.g., copier/scanner) to ensure they are working correctly, troubleshoot, and coordinate service, as necessary.
- Provide overall support to attorneys’ clerical, office, and business needs.
Requirements:
To ensure immediate success in this role, the candidate must have:- Prior work experience providing administrative and/or administrative support in a law firm or similar environment.
- Ability to multitask in a complex, fast-paced, evolving environment, coordinate schedules, and handle routine office tasks.
- Strong organizational and problem-solving skills.
- Excellent communication skills, ability to manage deadlines, a keen focus on follow-up, and uncompromised attention to detail.
- Proficient in the use of Word, Excel, Adobe, and Outlook.
- Working knowledge of both New York and Federal Court procedures and familiarity with e-service and e-filing.
- Ability to interact with attorneys, office staff, and clients in an approachable, professional manner.
- Ability and interest to consistently promote a positive work environment.
Additional experience desired but not required: - Associate or bachelor’s degree.
- Prior law firm experience (at a Personal injury and Insurance Defense firm a plus).
- Knowledge of cloud-based technology.
The annualized salary range for this position is $55,000 to $65,000. Actual pay will be adjusted based on experience and other job-related factors permitted by law.
